How to submit

What is the exhibitor forum?

The Exhibitor Forum provides manufacturers, vendors, research institutions, and HPC service providers an opportunity to deliver a technical presentation to all conference attendees. Successful presentations will focus on technical challenges and solutions, innovations, or case studies. Submissions with a marketing or sales focus will not be accepted.

Presentations are 20 minutes each followed by 10 minutes for Q&A.

Presentations should focus on HPC services, data, usability, and networking and can include topic such as:

  • Exascale Systems
  • Data Management
  • AI and Data Analytics
  • High-Speed Networking
  • Programming Abstractions
  • Hardware and Architecture
  • Software and Tools
  • Applications and Workflows
  • Quantum Computing and Beyond Moore’s Law
  • Diversity, Equity, and Inclusion in the Workplace

Preparing Your Submission

Format

Your talk information will be submitted via a web form accessible below. Provide two abstracts, a detailed one for review (up to 500 words) and a short description for the program (up to 150 words). Do not include company-confidential information, submissions will be shared with the review committee.

Submission Guidelines

  1. Focus on Value, Not Promotion: Frame your submission to highlight the technical value, relevance, and supporting use cases to the HPC community, rather than focusing on promoting products or services. Submissions that resemble sales pitches will not be accepted.
  2. Consider submitting collaborative work between industry and educational or government entities to enhance credibility and relevance.
  3. Define clear outcomes: What should the audience take away from this talk?
  4. Provide a clear and concise title that captures the essence of your talk.
  5. Provide a detailed abstract with the key points and issues you will address.
  6. Limit the number of presenters to two.
  7. Select the most relevant Exhibitor Forum Topic for your presentation.
  8. Incorporate real-world applications, case studies, or success stories to demonstrate practical benefits.
  9. Address current challenges and trends in HPC.
  10. Propose interactive elements such as design-thinking exercises, Q&A sessions, live polls, and small group discussions to engage the audience.
  11. Offer to provide educational materials or resources that attendees can access post-conference.

Presenters

The presenter’s name, presentation title, and abstract will appear in the online SC schedule exactly as you enter it in the SC submissions website.

Review Criteria

Relevance and Impact

Submissions should address significant technical challenges in HPC and demonstrate potential benefits or share lessons from limitations or failures.

Selection Process

The review committee will select presentations based on technical soundness, relevance to HPC, and the topic’s demonstrated or potential impact on HPC. Submissions that lead toward sales or marketing will not be accepted.

conflict of interest & Plagiarism

conflict of interest

Please be aware of, and adhere to, these SC Conference guidelines regarding potential conflicts of interest and disclosure.

A potential conflict of interest occurs when a person is involved in making a decision that:

  • Could result in that person, a close associate of that person, or that person’s company or institution receiving significant financial gain, such as a contract or grant, or
  • Could result in that person, or a close associate of that person, receiving significant professional recognition, such as an award or the selection of a paper, work, exhibit, or other type of submitted presentation.

Program Committee members will be given the opportunity to list potential conflicts of interest during each program’s review process. Program Committee chairs and area chairs will make every effort to avoid assignments that have a potential COI.

According to the SC conference you have a conflict of interest with the following:

  • Your PhD advisors, post-doctoral advisors, PhD students, and post-doctoral advisees;
  • Family relations by blood or marriage, or equivalent (e.g., a partner);
  • People with whom you collaborated in the past five years. Collaborators include: co-authors on an accepted/rejected/pending research paper; co-PIs on an accepted/pending grant; those who fund your research; researchers whom you fund; or researchers with whom you are actively collaborating;
  • Close personal friends or others with whom you believe a conflict of interest exists;
  • People who were employed by, or a student at, your primary institution(s) in the past five years, or people who are active candidates for employment at your primary institution(s).

Note that “service” collaborations, such as writing a DOE, NSF, or DARPA report, or serving on a program committee, or serving on the editorial board of a journal, do not inherently create a COI.

Other situations can create COIs, and you should contact the Technical Program Chairs for questions or clarification on any of these issues.

Plagiarism

Please review the IEEE guidelines on identifying plagiarism.
